Studio Policies

Withdrawal

Any student who withdraws from ESOD must give written notice to the office prior to the next months billing date. If the customer does not give written notice, they will be automatically billed for the next months tuition and billing will continue until written notice is given. The customer will be financially responsible for the total amount. Registration fees are non-refundable. 

Withdrawals must be submitted in writing 30 days prior to the billing date and the withdrawal form must be submitted 7 days prior to the billing date.

 

All withdrawals after April 1st will still be financially responsible for tuition for the remainder of the season.

Rescheduling & Substitution

ESOD reserves the right to provide a substitute teacher if the regular teacher is ill or is otherwise unable to teach. ESOD reserves the right to reschedule or combine classes.

Priority Registration (NEW!)

Never worry about registration again! We will do the work for you! On May 18th, 2024, all currently registered students will be charged a non refundable registration fee for the 2024-2025 season unless an opt-out form is completed prior to April 29th, 2024. Parents will still be able to select which classes they want their child placed in.

Refunds

Refunds are only issued when ESOD cancels a class due to low enrollment. Recital costumes are non-refundable. The Recital Fee is non-refundable. 

Attendance

Regular attendance is vital to student progress and group choreography. Please make every effort to attend each class. Students may make up missed classes. If you miss more than two of the final eight classes before Recital you may be dismissed from participating in the Recital routine at the discretion of the teacher.

Parent Observation

Coming into the classroom is not allowed unless invited by the instructor. ESOD's lobby features monitors which display all of the studios as well as viewing windows. ESOD holds two Parent Participation Weeks during the season where parents are invited into the studio to take class with their child.

Inclement Weather

In the event of inclement weather, a text and email will be sent by 2:00pm regarding the status of classes and posted on the ESOD Facebook page and Instagram. Please note that we do not necessarily follow school closings as roads are often cleared by the time studio classes begin. Students are welcome to makeup any missed classes due to inclement weather.

Costume Orders/Exchanges

Recital costumes will be paid by automatic bank account debit or credit card payment on November 20th.

Costumes are non-refundable.

Costumes will not be ordered until payment is received in full. 

 

Tuition Fees & Payments

Tuition rates are for the full season of 40 classes. Any missed classes due to holidays may be made up. Tuition fees are paid monthly or annually.

After registering, monthly tuition must be paid by automatic bank account debit or credit card payment. Tuition will be debited from your account (or charged to your credit card) on the 15th day of each month. There is a 3.5% convenience fee on debit and credit cards. To avoid this fee please pay by cash, check or EFT.

If your payment has not been received or we have been unable to successfully draft your tuition, a $25.00 late fee will be applied to your account on the 20th.

Recital costumes will be paid by automatic bank account debit or credit card payment on November 16th.

Lost & Found and Security

Lost and found can be located in both studio lobbies. Please check the lost and found cabinets regularly as all lost and found items are donated to Goodwill at the end of each month. Security cameras are located in public areas for safety and security. 

Class Attire

All instructors reserve the right to refuse instruction to any dancers that do not abide by the ESOD dress code. 

Communication

At ESOD we go to great lenghts to keep you updated and informed. Monthly newsletters, emails, Facebook, Instagram, lobby & TV displays. Questions - we are happy to answer any questions you may have regarding your dancer or our programs. Let us know if we can help you in any way! 

Christmas Show

Every year we finish the fist half of our season with a fun and informal program - The Christmas Show. Most ESOD classes participate in The Christmas Show.

Recital

Each June, we end our season with our fully staged professional Recital at Will Rogers Auditorium. All classes participate in the Recital unless noted on the schedule. There is a non-refundable Recital Fee that is due by January 10th. We encourage but do not require individual participation.
 

Pandemic

ESOD reserves the right to move all classes to an online platform when we see fit or if mandated by the government. 

Late Pickup

If a student is consistently picked up late, ESOD will charge the account $1 per minute starting at the time the child is released from class and ending when a parent/guardian picks them up.
